Navigate by budget
These are planning bands for recurring software and service cash, not price promises or total cost. Replace every assumption with current official quotes in your currency and jurisdiction.
Labor warning: free software and near-zero license spend do not make implementation, data cleanup, training, administration, hosting, storage, email/SMS, security, backups, restore drills, incidents, upgrades, professional review, or migration free. If staff hours are not budgeted, the plan is incomplete.
1. Near-zero cash
Use free/open software or existing entitlements while explicitly accepting manual work and skilled maintenance. This band is unsuitable when recovery ownership is absent.
- Review Near-Zero Cash Technical Self-Host.
- Include a host, domain, off-host backup, delivery services, and loaded labor even when license cash is zero.
2. Under 50 per month
Keep one bounded workflow or a very small managed/self-hosted mix. Currency is intentionally not fixed; local taxes and exchange rates apply.
- Use the Stack Builder with current quotes.
- Reject any combination that relies on expiring trials or unmeasured overages.
3. Under 200 per month
Allow a small operator stack with clearer support or a few managed services, while retaining explicit systems of record and an exit path.
- Review Under 100 Monthly as a narrower planning target.
- Compare Under 250 Hybrid before assuming the broader band is sufficient.
4. Under 500 per month
Budget for a broader hosted/hybrid arrangement, delivery usage, protected storage, and recurring administration. More tools are not automatically a better stack.
- Compare Commercial Hybrid.
- Preserve budget for staff training, reconciliation, independent backup/export, and support.
5. Flexible or custom
Use when requirements, site count, support, hardware, usage, or risk drive the decision more than a fixed cap. Flexible does not mean unbounded.
- Model low, expected, and high five-year cash and labor in the buy/build/self-host guide.
- Set approval thresholds, contingency, contract/renewal dates, and a funded exit scenario.
For every band, state monthly cash, setup labor, maintenance labor, hosting/storage, messaging/usage, payment fees, hardware, professional review, incident allowance, and exit cost separately. Do not claim savings until a measured baseline and post-pilot outcome exist.
