Community coordinator and front desk

Operates the human welcome point for members and visitors, using structured queues and records to improve consistency without reducing hospitality to scripted transactions.

Responsibilities

  • Maintain a safe, informed, and welcoming reception experience.
  • Triage requests accurately, protect personal information, and escalate exceptions promptly.
  • Keep handovers and shared service records concise enough for the next person to act.

Daily tasks

  • Open the front desk, inspect public areas, and review expected visitors and unresolved items.
  • Check in people, answer practical questions, receive deliveries, and record exceptions.

Weekly tasks

  • Review recurring questions, queue delays, lost-property items, and incomplete handovers.
  • Update approved quick-reference guidance with the responsible manager.

Monthly tasks

  • Sample visitor, day-pass, and service records for accuracy and unnecessary personal data.
  • Recommend one service or information improvement based on observed demand.

Revenue-impacting work

  • Deliver reliable day-pass and tour arrivals and capture qualified interest with consent.
  • Surface product confusion or unmet demand to sales and management.

Member-experience work

  • Recognize when a person needs empathy, discretion, accessibility support, or escalation.
  • Make warm introductions and explain policies in context rather than reciting scripts.

Repetitive administrative work

  • Visitor pre-registration checks, routine notifications, handover formatting, and FAQ retrieval.
  • Logging mail, lost property, and standard service requests into owned queues.

Dangerous tasks to automate blindly

  • Identity, access, safeguarding, harassment, emergency, or vulnerable-person decisions.
  • Sharing visitor or member presence information without verifying authority and purpose.

Stack choices

  • Easiest hosted: [Hosted visitor management, coworking platform, shared inbox, and searchable reception handbook with least-privilege access.](../../../stacks/generated/Hosted visitor management, coworking platform, shared inbox, and searchable reception handbook with least-privilege access./)
  • Hybrid: [Hosted booking and visitor tools feeding a controlled service queue and locally maintained operating handbook.](../../../stacks/generated/Hosted booking and visitor tools feeding a controlled service queue and locally maintained operating handbook./)
  • Self-hosted: [Self-hosted visitor log, service desk, knowledge base, and notification automation with retention and access controls.](../../../stacks/generated/Self-hosted visitor log, service desk, knowledge base, and notification automation with retention and access controls./)

KPIs

  • Median arrival wait and percentage of exceptions escalated to the correct owner.
  • Handover actions completed without repeat fact-finding.
  • Member feedback on welcome, clarity, and practical help.

30-day improvement plan

  • Observe one week of arrivals and classify demand, delays, and judgment-heavy exceptions.
  • Create a short service queue with clear owners and privacy-safe required fields.
  • Pilot pre-arrival information for one visitor type while retaining a staffed fallback.
  • Review the pilot with frontline staff and remove fields or steps that do not aid service.

Implementation owner: General manager or community manager, with front-desk staff shaping the workable procedure.

When to get expert help

  • Identity verification, accessibility, safeguarding, surveillance, or data retention is involved.
  • Visitor controls must integrate with physical access or emergency procedures.
