oss-osi-approved planned guideOverview
Snipe-IT records assets and their assignment history. A coworking operator could track loan laptops, monitors, AV kits and key inventory, with staff reconciling physical handovers. It is an asset register rather than a complete facilities maintenance system, room-reservation system or physical access controller.

Cost reality
Self-hosted software is free; infrastructure, backups, upgrades and support require staff time or a supplier. Official managed hosting and support plans are paid.
Plans, provider terms and prices change; check official sources before making a budget or deployment decision.
Tasks reduced or augmented
Software does not replace community or ops staff. It may reduce or augment:
- Record equipment ownership, assignment and return history
- Reduce manual updates to shared-asset spreadsheets
Human oversight still needed
- Verify physical handovers, condition and missing items
- Approve access to user records and decide replacement or maintenance actions
Manual process this can replace
Structured task-fit review has not been completed for this tool. Treat the free-text examples above as evaluation prompts, not replacement claims.
Data held
-
asset identifiers and serial numbers
-
purchase and warranty records
-
assigned users
-
checkout and return history
-
Personal data: yes
-
Payment data: no / not primary
Collect only data needed for the pilot and confirm access, deletion and export behavior before operational adoption.
Risks
| Area | Notes |
|---|---|
| Vendor lock-in | Export, migration and restore behavior have not been tested; retain a practical manual fallback before depending on the tool. |
| Security | Restrict administrative access and asset exports, apply updates and secure attachments and backups. Avoid storing door codes or unnecessary personal documents in asset notes. |
| Compliance | Set retention and access rules for staff or member assignment history and purchase documents. |
| Licensing | Official repository identifies AGPL-3.0. Paid hosting and support do not turn the self-hosted software into a free hosted service. |
| Operational | An assignment record is not proof that an item was physically returned. Define who reconciles inventory; asset maintenance records do not replace a full maintenance dispatch process. |
Coworking fit
Roles: operations-manager, facilities, technical-operator
Workflows: facility-maintenance, member-onboarding, member-offboarding
Problems: replace-spreadsheets, reduce-manual-admin
Smallest useful experiment
Enter ten shared AV or loan assets, check two out to consenting staff, record their returns, and compare the register with a physical count.
